Easy Time Clock Software Can Benefit Any Business

By Daniel Perry

Any company that employs staff is plagued with keeping track of their employees' time and attendance. Using a manual attendance register is often not reliable and open to abuse by the very staff that they need to monitor. A good solution is to install easy time clock software that can keep an accurate track of staff movements. It allows management to keep control of staff and monitor their work hours.

Companies will be able to accurately assess any workers that are not meeting their attendance requirements and deal with the issues in whatever manner is appropriate. Problems are eliminated with a reporting system that is accurate and up to date, giving information reports as they are needed. Productivity and staff morale can improve as a result of this new software.

In the past supervisors or staff were trusted to manually capture their arrival and departures in a register. This was not a reliable or accurate method as it was far too easy to cover up tardiness or slacking. Staff could abuse the system and claim that they had worked more overtime than they actually had.

Supervisors that were guilty of stealing time, and thus money, from the company by altering manual time and attendance records or favouring particular workers, had an easy route. It was often difficult to pick up errors and certainly harder to find proof and deal with perpetrators. Unfairness and bias was always a potential hazard.

The risk of abuse is reduced immediately an automated clocking system is installed. There is no longer an opportunity in the workplace for time cheaters. Data that is collected is protected within the system, readily available to those that require it as well as being updated constantly with no more delays while head office waits for an outlying branch to send over information. Manual calculations for wages are no longer needed upgrading accuracy and re-establish fair business practices.

Once the devices are installed, they are linked to either the local wireless internet or in some cases, 3G. Data is now instantly available for a manual search or various levels of reporting can be established whereby the program is set up to automatically send out time and attendance reports to specific managers on their own staff. Because the units are linked online, they can be repaired and updated remotely as well as release data immediately.

Readers can be installed at the main entrances to the premises as well as secure areas because they not only control arrival, departure and attendance, they also control access if correctly set up and linked to a door or gate. Once the worker places his finger on the reader and it reads the fingerprint, he is identified and his time is linked to his file. If the staff member does not have access to that particular area or is only allowed in during specific times, the system does not allow the access controlled door or gate to open.

Even manual clock cards are able to be abused in some way, with staff punching in for mates who haven't arrived as yet, or the last person in a long line may be tagged as late, simply due to their place in the queue. The foolproof biometric system can be set to allow a leeway of several minutes to accommodate this. Depending on the chosen program, the system keeps an updated record for the worker including their position, pay grade, allocated shifts and annual leave.
